Voyage Wealth Architects is seeking a dynamic, detail-oriented, self-starter to serve as our Office Manager and be a key member of our operations team.

This position will have the opportunity to work in our downtown Minneapolis office and may include limited remote work flexibility. Reporting to our Chief Operations Officer, the Office Manager is responsible for the day-to-day administrative and operational support of the office. Additionally, this role will be responsible for providing the best possible client and employee experience by executing various operational strategies, such as gifting, CRM data input/maintenance, and event planning logistics. The ideal candidate for this role will have excellent organizational and time management skills and will thrive working in a fast-paced, high-growth environment where they will work on several different projects at a time. 

Responsibilities include, but are not limited to:

  • Act as the “Face of the Firm” – greet clients arriving for in-office meetings, help them settle into conference rooms with drinks and snacks, etc…
  • Ensure that the office is well-stocked with necessary supplies, from stationery to pantry items (regularly replenish the refrigerator inventory). This involves keeping track of inventory, placing orders, and making occasional store runs.
  • Assist in overall office upkeep and general office duties, such as: processing and distributing daily mail, managing FedEx and USPS shipments, watering of plants, cleaning up of conference rooms and dishes, etc…
  • Manage our guest access system and ensure all firm guests are entered into the security portal in a timely manner
  • Assist in the planning and execution of internal and client-facing events including team events, team breakfasts, holiday gatherings, and occasional marketing or client appreciation experiences.
  • Manage onsite and team offsite meeting logistics including invitations, RSVPs, catering, required technology, etc.
  • Tactical management and execution of firm gifting strategies.
  • Answer, screen and forward incoming calls to both the firm and the Partners.
  • CRM database input and maintenance
  • Maintain calendar of team member time off, birthdays, anniversaries, life milestone and recognition programs.
  • Assist with special projects and other duties as assigned.

  • Bachelor’s degree or equivalent administrative work experience
  • High attention to detail and excellent organizational skills. 
  • Strong written and oral communication skills.

  • Commitment to maintain a high degree of confidentiality.
