Job Description

The Visa Support Specialist will play an integral role in supporting HRC’s company vision and mission statement in administration and support of Exchange Visitor Trainee, Intern and Teacher programs. The Visa Support Specialist will assist with daily activities focused on intake and processing sponsorship applications, advising exchange visitors, and maintaining compliance with visa records. The Visa Support Specialist will assist with advisement to the exchange visitor on the J-1 Intern/Trainee visa with relevant immigration laws, including the Department of State's and the Department of Homeland Security's policies, manuals, instructions, and guidance on SEVIS and all other operations relevant to the Exchange visitor Program, through conversation, correspondence.

Essential Responsibilities:

Compliance - 60%

• Review/vet programs that meet regulations requirements, interview candidates and assist in vetting exchange visitor applications for sponsorship for HRC’s program designation

• Coordinate and assemble consular, pre-arrival and orientation packets for sponsored exchange visitors.

• Maintain insurance records, CRM and SEVIS records.

• Assist with program changes and processes such as transfers, extensions, amendments, deviations, etc.

• Assist with travel validations, check in reporting and departures

• Assign EV’s with a Buddy; obtain new buddies

• Monthly reporting: Verify EV’s mailing address to ensure within 50 miles/we have received

Engagement – 40%

• Interact with exchange visitors by phone, email, video call, chat, etc.

• Provide guidance and support throughout their program through required check-ins by answering basic, mid-level (such as housing, social security, banking, taxes, cultural differences, etc.)

• Provide guidance and support interaction with contacts at the host employers for orientation call and problem resolutions

• Assist and support answering insurance questions and or claims

• Obtain testimonials, photos, videos from EV’s to share on social media throughout their program. Testimonials are requirements from all culinary candidates.

• Obtain flight departure details when a program is completed, shortened or terminated.

Desired Requirements

• Knowledge of immigration regulations related to J visa categories

• Prior international and/or educational experience strongly preferred

• Prior SEVIS experience preferred

• Customer service experience by phone
